
UDC’s Data Maintenance Service consists of three primary phases. Described within these phases are our approaches to project management, the training and mobilization of UDC resources, the establishment and maintenance of high data quality, and the resolution of project issues.
Initial Phase (Project Startup)
This first phase establishes the project logistics and familiarizes our GIS specialists with the project. We’ll first review any available related project documentation and post request samples to bring our GIS specialists up to speed with your project standards and rules, environment, and workflows. Your company will also train a few of our GIS specialists on the project systems and processes during this phase.
UDC will create a living, internal specification document that will promote quality and accuracy across our team by establishing procedural and technical uniformity. The document can be collaboratively developed with your utility or provided for review.
Pilot Phase (Proof of Process)
Whether a large or small project, we’ll conduct a pilot project using a small assortment of your data sources prior to a full production phase. Our performance will be reviewed and evaluated after completion of the pilot and the feedback will be implemented to improve productivity and accuracy.
Production Phase
Once the pilot is accepted, we will begin full production, either remotely or onsite. Additional UDC GIS specialists will be provided access to the system and trained as needed to support the workload.
For each project, we’ll perform a series of visual and automated checks prior to posting to ensure all edits are compatible with your utility’s networks. This phase may include data quality control (QC) and/or data acceptance testing (DAT) of UDC GIS specialists, contractors, and/or internal resources.
Work Order Tracking
UDC provides tools to baseline the data quality and to monitor and measure the quality once the utility’s design and as-built processes are in place for the maintenance of the data. Using an in-house developed comprehensive system to manage the project lifecycle of each work order, we track production throughputs in addition to ensuring data accuracy. This system provides managers the ability to easily identify trends, quality, and volume by individual GIS specialist or by work type through a dashboard view.

Reporting and Communication
We provide our clients with a robust weekly status report describing the past week’s accomplishments, the current week’s plan of activities, and planned activities for the next month. The report includes compiled metrics detailing any backlogged work and the amount and types of work orders completed. Cadence touchpoint calls are scheduled to review progress and address any issues or concerns.

Issue Resolution
UDC configures and manages a web-based Problem Action Response (PAR) system to address project questions and issues and their resolutions. The system is closely monitored by our team to ensure answers are received from the client in a timely manner to prevent any lapses in production.
